Business license renewal tracker: what to record, when to set reminders
A business license renewal tracker is one list of every dated license, permit, registration and policy your business holds, with the expiry date, the issuing agency, the renewal window and the person responsible on each row. The first reminder goes on the day the agency lets you renew, the second 30 days before expiry and the last a week before. Below is the template as a table you can copy, a list of what commonly expires and how often (with the agencies' own pages linked), and a rule for deciding whether a calendar is enough or you need a dedicated tracker. The examples are from the United States. Australians spell it licence; the web address keeps that spelling so both can find this page.
What to record for each license
The U.S. Small Business Administration puts the problem in one sentence: "Some licenses and permits expire after a set period of time. Keep close track of when you need to renew them — it's often easier to renew than it is to apply for a new one" (SBA, Apply for licenses and permits). Tracking the date alone is not enough, because on renewal day you also need the login, the fee, the number and the proof. Record these for each row:
- Obligation: what it is, in your own words, and the entity it belongs to if you have more than one.
- Issuing agency and the page or portal you renew on.
- License or account number, so you can find it in the portal.
- Expires on: the date printed on the document. Washington's Department of Revenue, for example, prints it in the upper right of the business license (WA DOR, Business Licensing and renewals FAQs).
- Cycle: annual, two years, four years, five years, or one-off.
- Renewal window opens: the earliest date the agency accepts a renewal.
- Reminder dates: the three dates you actually set.
- Fee last paid, so you can budget the next one.
- Owner: the one person who does it.
- Proof stored: where the current certificate or policy lives.
- Status: current, renewal in progress, or overdue.
The tracker template (copy it)
Select the table, copy it into a spreadsheet or document, and replace the example rows with your own. The dates below are placeholders chosen to show how the columns relate; they are not anyone's real deadlines.

What commonly expires, and how often
Cycles are set by each agency and differ from state to state, so treat the table below as examples to check against, not a schedule. Each row links to the agency's own page, read on the day this was written.
| Type of obligation | Verified example |
|---|---|
| State or local business license | Washington: a business with a state or city endorsement through the Business Licensing Service renews its license annually. The department sends a courtesy reminder one month before expiry, but the renewal is due by the printed date whether or not the notice arrives, and late renewals incur a late penalty fee (WA DOR). |
| Sales tax permit or reseller permit | Washington reseller permits "are generally valid for four years", or two years in listed cases such as contractors and businesses open under 12 months (WA DOR, Reseller permits). Colorado sales tax licenses run two years; the current period began January 1, 2026, after all prior licenses expired December 31, 2025, with a $16 renewal fee per physical location (Colorado DOR). |
| Annual report or statement of information | Oregon: "Your renewal is due on the anniversary date of the original filing", with a notice sent about 45 days ahead (Oregon SOS). California: a statutory six-month filing window tied to the month of formation; failure may bring Franchise Tax Board penalties and suspension or forfeiture (California SOS). |
| Franchise tax | Delaware domestic corporations file the annual report and pay franchise tax on or before March 1; missing it costs $200 plus 1.5 percent interest per month (Delaware Division of Corporations). Texas franchise tax reports are due May 15, with a $50 penalty on each late report (Texas Comptroller). |
| DBA or fictitious business name | Los Angeles County: a fictitious business name statement "expires five years from the date it is filed with the County Clerk" and the renewal must be filed before expiry (LA County Registrar-Recorder/County Clerk). |
| Professional and trade licenses | California Board of Barbering and Cosmetology licenses have a two-year period, can be renewed up to 83 days before expiry, and carry a $25 delinquent fee for individual licenses (Board of Barbering and Cosmetology). |
| Federal certifications | EPA lead-safe (RRP) firm certifications "are good for five years"; the firm must apply for re-certification at least 90 days before expiry, and a lapsed firm may not conduct renovations until EPA approves a new application (EPA). |
| Insurance and inspections | The renewal date is on the policy's declarations page or the inspection certificate. If the certificate does not state the next due date, ask the agency or inspector and write it down. |
| Does not expire: EIN | The IRS does not describe an EIN as expiring. It says it "can't cancel it, but we can deactivate it", and that a new EIN is generally needed only when ownership or structure changes (IRS). Leave it off the tracker. |
How far ahead to set reminders
Agencies' own notices arrive late in the cycle: one month before expiry in Washington, about 45 days in Oregon, and about 90 days for a Washington reseller permit that will not auto-renew. Several also state when they will take a renewal: Washington two months early, California's cosmetology board 83 days, and EPA requires the lead-safe application 90 or more days before expiry. So use three reminders:
- First: the day the renewal window opens. If the agency does not publish one, use 90 days before expiry.
- Second: 30 days before expiry. This is roughly when most agency notices arrive, so if yours has not, something is wrong with your address on file.
- Last: 7 days before expiry. By this one the renewal should already be done and the new certificate filed.
If you use Obligio, note how it fits this rule. The app sends reminders 30, 14, 7 and 1 days before the date you enter, with notifications enabled. For a license whose window opens two or three months out, enter the day you intend to renew as the deadline, not the printed expiry, so the 30-day reminder lands when the window opens.
Calendar or dedicated tracker? A decision rule
Count the rows in your tracker, then apply this:
- A calendar is enough if you have three or fewer dated obligations, all on a yearly or shorter cycle, one person is responsible, and nothing needs a stored document at renewal time. Put the three reminder dates on each one and you are done.
- Use a dedicated tracker (the spreadsheet above, or an app) if any of these is true: more than three obligations; any cycle longer than a year, because a reminder set four or five years out only survives if that calendar and that phone do; renewals that need a certificate or policy attached; more than one person doing renewals; or more than one agency portal and login to keep straight.
The multi-year items are the ones that catch people out. A four-year reseller permit or a five-year fictitious name statement is renewed so rarely that nobody remembers how, which is why the "renewal window opens" and "proof stored" columns exist.
Where Obligio fits
Obligio is a business compliance tracker for iPhone and Android that holds the same rows as the template: each obligation with its due date, category, and the reminders described above. It shows current, upcoming and overdue items in a dashboard and calendar (features). The Free plan tracks up to three obligations, which matches the calendar case in the rule above. Plus adds unlimited obligations, attached document evidence so the certificate sits with its deadline, and recurring obligations that roll forward when you mark one complete (Free and Plus; prices are shown in the app). It also offers a catalogue of selected US federal obligations with links to official sources and the date each was last reviewed. Coverage is limited: you add your own state, local and industry requirements, and it does not tell you every requirement for your business, give legal or tax advice, or file anything on your behalf. The template above works without it.
When this page does not apply
- If you need to know which licenses your business must hold, start with your Secretary of State's site; the SBA says to "research your own state, county, and city regulations" because "industry requirements often vary by state" (SBA).
- If a renewal has already lapsed, go straight to the agency's page or phone line; penalties and reinstatement rules are theirs, and some, like the EPA example above, stop you working until approved.
- For tax filing deadlines rather than license renewals, use the IRS and your state revenue department's calendars, or a CPA.
- If you are in Australia, the Australian Government's Australian Business Licence and Information Service lists licences by location and activity. The template still works; the examples do not.
- For anything that turns on your entity type or a notice an agency sent you, ask a licensed attorney or accountant. This page is organizational guidance, not legal or tax advice.
Questions
Does an EIN need renewing?
No renewal is described by the IRS. Its EIN page says the IRS cannot cancel an EIN, only deactivate it, and that a new one is generally needed only when the entity's ownership or structure changes.
How early can I renew a business license?
It depends on the agency. Washington's Department of Revenue accepts business license renewals up to two months before the printed expiry date. California's Board of Barbering and Cosmetology accepts renewals up to 83 days early. The EPA requires lead-safe firm re-certification at least 90 days before expiry. Record each agency's window in the tracker.
What happens if I miss a renewal?
Each agency sets its own consequence. From the pages linked above: Delaware charges a corporation $200 plus 1.5 percent monthly interest for a missed March 1 filing; Texas assesses $50 per late franchise tax report; California's Secretary of State warns of Franchise Tax Board penalties and suspension or forfeiture; a lapsed EPA lead-safe firm cannot conduct renovations until re-approved. Check your agency's page and renew as soon as you can.
Why is the web address spelled licence?
American English spells the noun license. Australian and British English spell it licence, as the Australian Government's Australian Business Licence and Information Service does. The address keeps that spelling so readers in both places can find the page; the text uses the US spelling because the examples are American.
